This quickstart takes you from first connection through a working Xero-to-Airtable sync. The setup and mapping are shared with collaborators who use the same Airtable table.
Current scope: BoostSync reads Xero sales invoices and quotes and writes mapped values into Airtable. Xero remains the source of truth; this release does not create or edit Xero documents.
1. Before you start
Airtable access: Open the base and table you want to connect. A Creator or Owner must complete the first Airtable authorization because BoostSync needs permission to read the base schema and write synced records and fields.
Xero access: Use a Xero account that can access the organization whose sales invoices and quotes you want to bring into Airtable.
Browser windows: Allow authorization popups. If your browser blocks one, BoostSync lets you open the authorization page directly or copy its link into a new tab.
2. Connect Airtable
Open BoostSync for Xero while the destination table is active, then select Connect Airtable.
Finish the Airtable authorization in the new window. When access is ready, the first setup step changes to Connected and the Xero step unlocks.
3. Connect a Xero organization
Select Connect Xero and approve read-only access to invoices and quotes in the Xero window.
If your Xero account can access more than one organization, choose the organization you want and select Continue. BoostSync then prepares that organization's invoices and quotes for Airtable.
4. Map Xero fields to Airtable
The Mapping tab opens automatically the first time you configure a table. Choose the Xero value for each compatible Airtable field, or use Smart match columns to match fields by name and type.
Required identity field: Map Xero Document ID to a dedicated Single line text field. BoostSync cannot save the mapping or sync until this field is configured.
To add missing columns, expand Create a new Airtable field, choose the Xero fields you need, review the proposed column names, and create them when you save. Creating columns requires schema-editing permission.
Available mappings are Xero Document ID, Document number, Document link, Contact, Email, Status, Due / expiry date, Paid date, and Paid total. Paid date and Paid total apply to invoices only.
Select Save mapping. Mappings belong to the active Airtable table, so configure each destination table separately.
5. Import invoices or quotes
Open Sync All. Choose Last 30 Days, Last 3 Months, or Custom Date. The default is Last 3 Months, and the range checks Xero records created or changed during that period.
Select Sync beside Invoices or Quotes. Each document type runs separately. Keep the extension open until the sync finishes.
BoostSync creates Airtable rows as needed and writes only the fields in the saved mapping. Review the destination table after the run, especially if mapped fields already contained values.
6. Link and refresh one Airtable row
Select exactly one row in the Airtable grid, then choose Invoice or Quote in the extension.
Search by document number, reference, or contact name, then select Link invoice or Link quote. BoostSync links that Xero document to the selected row and writes the mapped values.
For a linked row, open Actions and choose Sync to fetch the latest Xero values, Change to link a different document, or Unlink to remove the relationship. Unlinking leaves the existing Airtable values in place.
Note: A Xero document that is already linked to another row cannot be linked again.
7. Manage connections
Open Import, then Connections, to see the Xero organizations available through the connected account. You can switch the active organization, remove an organization, or disconnect Airtable.
The active Xero organization supplies the current table's imports and syncs. Removing an organization or disconnecting Airtable stops future access but does not clear values already written to Airtable.
