1 - Overview

Shared Notes Pro keeps CRM-style notes attached to people, deals, orders, or any column value so context follows work across every board. We call these important values such as names, phone numbers, and emails "identifiers". With Share Notes Pro, notes that you write stay linked to these identifiers even when board items move or get rebuilt. Teams typically use it to keep support, sales, and operations aligned without copying text between boards.

For example, let's say you have a board of Customers with names and emails, and another board of Orders which typically reference the same customers. You want to assign various internal notes to these customers or orders. Instead of duplicating notes and switching between boards, or manually mirroring note columns, you can now tell the Shared Notes Pro app to link notes anywhere a specific "name" or "email" shows up in any of your monday.com boards. It's almost like magic!

Shared Notes Pro app is reliable and super flexible. Accidentally deleting an item doesn't mean losing notes forever, and creating new items doesn't mean copying over all the previous notes. Shared Notes Pro takes care of all that manual work and risk for you!

2 - Adding the Item View to a Board

You must add the Item View feature to every board that you would like to use the Shared Notes app on. Follow these steps to add a new item view to your board:

  1. Click on the item in the board
  2. In the item view, click the "+" button and then "Explore more views" to search for new item views
  3. Search for "Shared Notes Pro" in the search bar
  4. Click "Add to Item"

That's it! Now every item in the board will have this item view as an option by default. You only need to do this once. On top of that, every note you've already created will automatically be available for your columns even if the item view wasn't there before!

3 - Create Your First Note

Once the item view is added to a board, every item in the board will have access by default. To open the item view, click the double-sided arrow next to a board item's name:

This will open up the Item View panel where you can see the Shared Notes view. In the example below, you can see that we already have a note for the identifiers "Homer" and "[email protected]". Now we will add a new note to the same identifiers saying "I've successfully sent an invoice to this customer for donuts!" and click "Add Note"

This note has now been saved on every item in your monday.com workspace that also has the word "Homer" or email "[email protected]". To verify, let's navigate to another board where we have the same email or name. Below, I have switched boards to my "Sales" board and see that there is an invoice that has "[email protected]". When we open the item view, this is what we see:

We can see the two notes we previously saw associated with the "[email protected]" email as well as other order-related notes. If we click the 3 dots "..." on a note, we can see more details about what the note is associated with and where it was created, confirming that this is the same note we created in our customers board:

You also have the option to "detach" the note from that identifier. If you click detach, this note will no longer show for that identifier.

4 - What Are Identifiers?

In the Shared Notes Pro app context, an identifier is any value that a shared note can be linked to. When you open up the Notes View, it will read all column types of an item and list possible identifiers. By default it lists:

  • Item Name
  • Emails
  • Phone Numbers
  • All short texts/words

You can select any or all of these identifiers to link a shared note to.

5 - Billing

Billing is done directly through your monday.com subscription. The standard plan (default) costs $10/mo for all features.
