1 - Add the Workspace Template
All synced eBay data lives in a monday.com workspace template—a collection of pre-configured boards that automatically organize your eBay orders, customers, and listings. You can find this template in monday.com's Template Center after installing the app.
2 - Connect Your Accounts
Open the Getting Started board view found inside your newly installed workspace template. The home screen displays a single Connect eBay button — this one‑time setup links both monday.com and eBay in a single flow.
- Open the Getting Started board view.
- Click the blue Connect eBay button.
- Sign in to eBay first with your seller account and accept the requested permissions.
- If your monday.com workspace has not yet been authorized, the same popup window is automatically redirected to monday.com's authorization page after eBay finishes — confirm access there as well.
- When the popup closes, the page automatically refreshes and your connected seller appears in the Selected Seller dropdown at the top of the view.
If a seller's authorization ever expires or its permissions go out of date, a small, numbered badge appears on the Settings tab in the top navbar. Open Settings, find the seller marked Reconnect required or Missing permissions, and click Reconnect to refresh authorization.
3 - Set Up Your Board Mapping
Once your seller is connected, the Setup Board Mapping card appears. This is where you tell the app where each type of eBay data should sync inside monday.com.
You have two options, presented side‑by‑side on the setup card:
- Option 1 — Add a default board. If the workspace template's expected Orders, Customers, and Listings boards are detected, BoostSync surfaces them as a single bundle and a one‑click Add button wires all of them up at once with auto‑mapped columns (and the Orders → line‑item subitems relationship) pre‑filled. If only some default boards are detected — or you'd rather add them one at a time — pick a single board from the Select a default board dropdown and click Add.
- Option 2 — Find an existing board. Pick any workspace, choose an existing monday.com board (for example, an existing customer CRM), select its Board type (Orders, Customers, or Listings), and click Add. You will be prompted to map its columns to eBay attributes before saving — required mappings are marked with a red asterisk, and incompatible monday.com column types are flagged inline.
Boards can be added, edited, or removed at any time from the Connected Boards panel.
4 - Sync Your eBay Data
After a board is mapped, it appears in the Connected Boards table along with its Data Type, Real‑time status, sync actions, and last sync status.
How the sync behaves:
- Deduplication is automatic. Each connected board is keyed to the underlying eBay record. If a matching item does not yet exist on the board, a new monday.com item is created. If a matching item already exists, the existing item is updated in place rather than duplicated.
- Order line items become subitems. When you map an Orders board to a board that has a linked subitems board, you can toggle Map line items as subitems during configuration. Each line item on an eBay order then syncs as a subitem beneath the parent order.
- Real‑time updates are off by default. Open a board's Configure → Real Time Updates tab and turn the toggle on to start receiving eBay event notifications for that board.
Important eBay Sync Constraints
Due to limitations within eBay's API, please note the following:
- Orders: eBay's real‑time notification system fires for new order events but does not push updates for every order change (for example, fulfillment status updates). To pull the latest state for orders that already exist on your board, run a manual sync or open the order's Item View (see Step 9).
- Customers: eBay does not expose a dedicated Customer API, so customer records are derived from your synced orders. As a result, there is no real‑time toggle on Customer boards. eBay also only returns buyer Personally Identifiable Information (PII) — email, full name, shipping address, phone — for the most recent 90 days. Older orders will populate with just the buyer's username and a partial shipping address.
- Listings: Real‑time covers listing state changes (Active, Completed, Ended, etc.). View counts and watcher metrics refresh on each manual sync from eBay.
Troubleshooting
If items are not syncing as expected, return to the Connected Boards panel:
- A Reconnect required or Missing permissions pill on the seller means the eBay token needs to be refreshed — click Reconnect.
- The Status column on each board row shows the result of the last sync. Click the info (ⓘ) icon next to a status to open the Sync Job Details panel, which lists progress and any per‑record failures.
5: Manually Sync Shop Data
Each connected board has a Sync Now button. Clicking it opens the Sync modal, where you can choose how far back to import:
- Pick a start date (defaults to 30 days ago; up to 2 years back is supported).
- Or check Sync All to retrieve up to 2 years of historical data for the selected board type.
Click Start Sync to begin. Only one sync can run at a time per seller — additional Sync Now buttons will be temporarily disabled while a job is in progress.
While BoostSync for eBay is designed for real‑time management, a manual sync is the right tool for:
- Onboarding: Importing your historical store data when you first set up the app.
- Reconciliation: External webhooks can occasionally drop, and (as noted above) eBay does not push notifications for every order change. Running a manual sync periodically keeps your monday.com boards perfectly aligned with eBay.
Note: Syncing large volumes of historical data may take some time. You can leave the view — the sync continues in the background and the status updates automatically.
6: Custom Mapping and Filters
Every connected board has a Configure button that opens the Board Configuration editor. This is a tabbed interface where you fine‑tune exactly how that board behaves.
Columns Tab — Custom Mapping
The Columns tab lists every column on your monday.com board side‑by‑side with a dropdown that selects which eBay attribute should populate it.
- BoostSync auto‑suggests sensible mappings the first time you open a new board, based on column titles and types.
- Required eBay attributes are marked with a red asterisk (*); the editor warns you if any required mapping is missing.
- Dropdowns automatically filter to only show attributes that are compatible with the monday.com column type — for example, a Date column cannot be mapped to a text attribute. Type mismatches are flagged inline as Invalid Mapping.
- To unmap a column, choose Not mapped from its dropdown.
For Orders boards, a Map line items as subitems toggle appears at the bottom of the Columns tab. When the parent board has a linked subitems board, enabling this toggle reveals a second mapping grid where you map subitem columns to per‑line‑item eBay attributes (title, SKU, quantity, price, etc.). If you don't see the toggle as enabled, your monday.com board does not have a subitems column linked.
Filtering Tab — Data Filters
The Filtering tab lets you limit which records sync into the board using a rule builder.
- Orders boards support filtering on Fulfillment Status (
NOT_STARTED,IN_PROGRESS,FULFILLED) with Equals / Does not equal operators. Combine multiple rules with AND/OR groups. An empty rule set syncs all orders within the selected date window. - Customers boards do not support filtering — they are derived from your synced orders. The tab instead shows a reminder about eBay's 90‑day PII retention.
- Listings boards do not currently support filtering and the tab is disabled.
Real Time Updates Tab
The Real Time Updates tab contains a single toggle that enables or disables event‑driven syncing for the board. For Orders, an in‑tab notice reminds you that eBay's webhooks only fire for new orders by default — refresh existing orders with Sync Now or by opening the Order Item View.
Saving and Removing
Click Save configuration at the bottom of the editor to persist column mappings and filters together. Click Remove at the top of the editor to disconnect the board from the app — your monday.com items are preserved, but the board will stop syncing eBay data.
7: Active Listing Item View
For items on your eBay Listings board, the Listing Details Item View gives you a comprehensive, at‑a‑glance look at how your products are performing. The view organizes critical listing metrics including:
- Status pills for listing state (Active, Completed, Ended) and listing type (Fixed Price, Auction).
- Metrics row: Price, Quantity Available, Quantity Sold, current Watchers, and 90‑day Views.
- Details card: SKU, Category, Condition, and End Date.
- A direct Open in eBay link to view the live listing.
Opening the Item View automatically pulls the latest data from eBay, and a Sync from eBay button is also available in the header for an on‑demand refresh. If your seller is missing the scope required for view metrics, the view will surface a banner prompting you to reconnect.
8: Customer Item View
Every record in your Customers board features a Customer Details Item View that summarizes the buyer's profile:
- Username, email, and phone number (formatted for the buyer's country).
- Shipping address when available.
- A Recent Orders table that automatically loads the buyer's most recent transactions with your store, including order ID (with a link directly to eBay), date, fulfillment status, and total.
The recent orders table is fetched on the fly when the view opens, giving you a consolidated view of a buyer's history without cross‑referencing the Orders board.
Customer records older than 90 days will be missing PII (email, full name, shipping address) due to eBay's retention policy.
9: Order Item View
Every item on your Orders board includes an Order Details Item View built for accuracy and speed:
- Comprehensive data: Order ID, buyer username, line items with SKUs, shipping address, buyer checkout notes, totals, and current fulfillment status.
- On‑demand accuracy: Opening the Item View automatically fetches the absolute latest data directly from eBay and updates the underlying monday.com item on the spot — no board‑wide sync required.
- A Sync from eBay button in the header re‑runs that fetch any time you want to confirm you're looking at live data.
- An Open in eBay link takes you straight to the order on eBay.
This makes the Order Item View the fastest way to verify the current state of a single order without waiting for the next manual sync.
10 - Managing Your eBay Accounts
From the app's Settings page you can manage every connection in one place:
- monday.com Access — view the status pill and disconnect monday.com authorization when needed.
- Connected eBay Sellers — see each connected seller with a Connected / Reconnect required / Missing permissions status, plus per‑seller Reconnect and Delete actions.
- Add another + — connect an additional eBay seller to the same monday.com account.
- Reset All — a single action that clears monday.com authorization, all eBay seller connections, and all saved board mappings for this monday account. Existing monday.com items are kept.
Deleting a seller removes both its eBay connection and every saved board mapping associated with it from the app. Existing monday.com items are preserved, but the affected boards will stop syncing — you'll need to reconnect the seller and re‑add its board mappings (see Step 3) before sync resumes.
